# Manage Your Subscription

> How to upgrade, downgrade, switch billing periods, cancel, and reactivate your Bodha Route Planner subscription.

## Accessing your subscription settings

Go to **Settings → Billing** to view and manage your subscription. From here you can:

* See your current plan, billing period, and renewal date
* View the number of user seats on your account
* Upgrade or downgrade your plan
* Switch between monthly and annual billing
* Update your payment method
* Download invoices
* Cancel or reactivate your subscription

## Upgrading your plan

When you upgrade from **Starter to Pro**, the change takes effect **immediately**:

1. Go to **Settings → Billing**.
2. Click **Change Plan**.
3. Select the **Pro** plan.
4. Review the prorated charge — you'll only pay the difference for the remaining days in your current billing cycle.
5. Click **Confirm Upgrade**.

All Pro features (time windows, customer notifications, live tracking, barcode scanning, etc.) are unlocked instantly.

> [!NOTE]
>
> **Proration example:** If you're 15 days into a monthly Starter cycle and upgrade to Pro, you'll be charged the difference between Pro and Starter for the remaining 15 days. Your next full billing cycle charges the Pro rate.

## Downgrading your plan

When you downgrade from **Pro to Starter**, the change is **scheduled for the end of your current billing period**:

1. Go to **Settings → Billing**.
2. Click **Change Plan**.
3. Select the **Starter** plan.
4. Review when the change will take effect (your current term end date).
5. Click **Confirm Downgrade**.

You keep full access to Pro features until your current billing period ends. On your renewal date, your plan switches to Starter and Pro-only features are disabled.

> [!WARNING]
>
> When you downgrade, features like time windows, customer notifications, live tracking, and barcode scanning will no longer be available. Make sure to export any data that depends on Pro features before your downgrade takes effect.

### What happens to Pro features when downgrading?

| Feature | What happens |
| - | - |
| **Time windows** | Windows stay on existing stops but are ignored during new optimizations |
| **Customer notifications** | No longer sent for new routes |
| **Live tracking links** | Existing links stop working at renewal |
| **Barcode scanning** | Scanning disabled in the driver app |
| **Custom properties** | Data preserved but no longer editable |
| **Full analytics** | Reverts to 30-day core analytics |

## Switching billing periods

### Monthly → Annual (save 20%)

Switching from monthly to annual billing takes effect **immediately**:

1. Go to **Settings → Billing** → **Change Plan**.
2. Select the same plan tier with **Annual** billing.
3. Review the charge — you'll receive a prorated credit for your remaining monthly term, and be charged the annual rate.
4. Click **Confirm**.

### Annual → Monthly

Switching from annual to monthly billing also takes effect **immediately**:

1. Go to **Settings → Billing** → **Change Plan**.
2. Select the same plan tier with **Monthly** billing.
3. Review the credit — unused time from your annual plan is issued as an account credit applied to future monthly invoices.
4. Click **Confirm**.

> [!TIP]
>
> Before switching, use the **Preview** button to see the exact charges or credits before confirming.

## Adding and removing users

### Adding users (drivers, dispatchers)

When you invite a new driver or dispatcher:

* Your subscription seat count increases automatically
* The additional seat cost is prorated for the remaining days in your billing cycle
* At your next renewal, you're billed for the updated number of seats

### Removing users

When you deactivate a user:

* Their access is revoked immediately
* Your seat count adjusts at the next renewal — there is no mid-cycle refund for removed seats
* Historical route data from that user is preserved

## Cancellation

You can cancel your subscription at any time:

1. Go to **Settings → Billing**.
2. Click **Cancel Subscription**.
3. Optionally share feedback about why you're leaving (this helps us improve).
4. Confirm the cancellation.

### What happens when you cancel?

* **Your account stays active** until the end of your current billing period (no early termination).
* After your billing period ends, your account reverts to the **free tier**.
* Your data (routes, stops, customers, driver history) is **preserved** and accessible on the free tier.
* You can **reactivate** your subscription at any time.

> [!NOTE]
>
> **In-app purchase subscriptions** (iOS App Store or Google Play): You must cancel through the respective store's subscription settings, not through the Bodha Route Planner dashboard.

## Refund policy

* **Cancellations are prorated**: You retain access until the end of your current billing period. No refund is issued for the remaining days because you keep full access.
* **Annual plan switches**: If you switch from annual to monthly mid-term, unused time is credited to your account.
* **Billing errors**: If you believe you were charged incorrectly, contact [support@bodharouteplanner.com](mailto:support@bodharouteplanner.com) and we'll investigate within 2 business days.
* **Chargebee portal**: For payment method issues, request a **billing portal** session from Settings → Billing to manage your card details directly.

## Reactivating your subscription

If you cancelled but your billing period hasn't ended yet:

1. Go to **Settings → Billing**.
2. Click **Reactivate Subscription**.
3. Your cancellation is reversed and your plan continues as before.

If your subscription has already expired:

1. Go to **Settings → Billing**.
2. Click **Subscribe** and choose your plan.
3. Complete the checkout process.

## Invoice & payment history

### Viewing invoices

1. Go to **Settings → Billing**.
2. Scroll to the **Invoices** section.
3. Each invoice shows the date, amount, status (paid, pending, failed), and line items.

### Downloading invoices

Click **Download** next to any invoice to get a PDF. Invoices include:

* Your company name and billing address
* Plan name, billing period, and per-user rate
* Number of user seats
* Subtotal, tax, and total amount
* Payment method used

### Managing your payment method

Click **Manage Billing** to open the Chargebee billing portal where you can:

* Update your credit or debit card
* Change your billing address
* View complete payment history

## FAQ

> **Will I lose my data if I cancel?**

> **Can I switch plans mid-cycle?**
>
> Yes. Upgrades take effect immediately with prorated charges. Downgrades are scheduled for your renewal date so you keep access to your current plan's features until then.

> **What if my payment fails?**
>
> Bodha Route Planner retries failed payments automatically. If payment continues to fail, you'll receive an email notification with a link to update your payment method. Your account remains active during the retry period.
